1. Personal information we collect

We may collect the following information:

  • First and last name
  • Email address
  • Phone number
  • Company name and role
  • Mailing address (when required for service delivery)
  • Browsing data (IP address, browser type, pages visited)

This information may be collected when you:

  • Fill out a contact form
  • Exchange emails with our team
  • Browse our site

EmployIA is a Canadian company subject to the federal Personal Information Protection and Electronic Documents Act (PIPEDA) and to the Quebec Act respecting the protection of personal information in the private sector (Law 25). Your data is processed in accordance with these laws.

2. Automated decisions and artificial intelligence

EmployIA designs and deploys artificial intelligence systems. No purely automated decision producing a legal or significant effect on a person is made by our systems without human intervention. When one of our AI employees processes personal information on behalf of a client, that client remains responsible for final decisions and retains a human supervision mechanism.

You have the right to be informed that a decision concerning you is based in part on automated processing, to obtain the main reasons that led to this decision, and to submit your observations to a member of our team in charge of reviewing the outcome.

3. Use of data

The data we collect is used to:

  • Respond to your inquiries and organize meetings
  • Prepare proposals, quotes and deliverables that concern you
  • Send you, with your consent, relevant professional communications
  • Improve the experience on our site and the quality of our services
  • Ensure site security and prevent abuse

4. Data sharing and transfers outside Quebec

Your personal data is never sold. It may however be shared with:

  • Our technical providers (hosting, email, infrastructure)
  • Competent authorities, where legally required

These third parties are contractually bound to protect your data and to use it only as strictly necessary to deliver the service.

EmployIA's distinctive architecture: deployments of AI employees at our clients are performed directly on their infrastructure. Their operational data never transits through our servers.

Transfers outside Quebec: our servers and hosting providers are located in Canada. When a processing operation requires a transfer outside Quebec, a privacy impact assessment (PIA) is conducted beforehand and appropriate contractual safeguards are put in place, in accordance with section 17 of Quebec Law 25.

5. Retention period

We retain your data only for the period necessary for the purposes for which it was collected, unless required otherwise by law.

6. Data security and confidentiality incidents

We implement appropriate technical and organizational measures to protect your data against unauthorized access, use or disclosure. The personal information we collect is stored in a secure environment, hosted in Canada.

However, since no mechanism offers maximum security, some risk remains when using the Internet to transmit personal information.

In the event of a confidentiality incident likely to present a serious risk of harm, we commit to notify without delay the Commission d'accès à l'information du Québec as well as any affected person, in accordance with the obligations of Quebec Law 25. An internal incident register is maintained.

8. Your rights

Right of access and rectification

In accordance with applicable Canadian privacy laws (PIPEDA and Quebec Law 25), you have a right of access, rectification and deletion of information concerning you.

Right to object and withdraw

You can at any time object to the use of your personal information for certain purposes mentioned at collection, or request that it be removed, for example, from a mailing list.

Right to portability

You can require that the computerized personal information concerning you be communicated to you in a structured, commonly-used technological format, or transmitted to another organization.

Right to cessation of dissemination and de-indexing

You can ask us to cease the dissemination of personal information concerning you or to de-index any hyperlink allowing access to it, under the conditions provided by law.
